The Euro-BioImaging Interim Web Access Portal and the related Euro-BioImaging database, with the user information processed and contained within, are fully committed to be operated according to the EU’s General Data Protection Regulation (GDPR). This Web Access Portal is an interim version of the full-fledged portal, which will be made available after the establishment of the Euro-BioImaging (EuBI) ERIC, foreseen for the latter half of 2017. This portal has simplified and limited design, content and functionality, as it has been designed to offer quick access to EuBI services during Interim Operation.
Any information sent to EuBI through this Interim Web Access Portal will go only to the personnel responsible for processing it. This entails personnel at the three EuBI Hub Candidates (Finland, EMBL and Italy), and at the EuBI Node Candidates, and relevant members of the EuBI Preparatory Phase II working groups. All information will be treated with utmost confidentiality and outsiders have no access to the data.
In addition to the above mentioned Euro-BioImaging personnel, user applications will be sent to external reviewers, who have signed a declaration of compliance with EuBI Conflict of Interest and Non-Disclosure Rules, stating that they will maintain the confidentiality of the proceedings and associated materials, they will not disclose information related to the review, and they will destroy the documentaion upon completing the review.
This Interim Web Access Portal uses Survey Monkey for all online forms and surveys. A Business Associate Agreement has been signed with Survey Monkey for this purpose, in accordance with the Health Insurance Portability and Accountability Act of 1996 (HIPAA), for Protected Health Information. This ensures that all information sent through Survey Monkey in the Interim Web Access Portal will remain confidential and secure, with access to it possible only by the relevant EuBI personnel.
For added safety, all information sent through this Interim Web Access Portal will be deleted from Survey Monkey as soon as it has been received by the relevant EuBI personnel.
Once a user application has been reviewed and accepted, the user will proceed to the visit at one or more EuBI Node Candidates, and the specific rules and guidelines regulating the access will be agreed upon between the user and the service-providing EuBI Node Candidate(s). These guidelines will follow the applicable practices, laws and regulations of where the Node Candidate(s) is/are located, and experiments will be conducted according to the rules of the Node Candidate(s).
After access, the user agrees to acknowledge Euro-BioImaging in any presentations or publications that include data and information produced during the access.
The user agrees that information about his/her application, its review process and post-project feedback are stored in the EuBI database and can be used in an anonymized form for general EuBI statistics and similar purposes. Requests to check or erase information from the database can be sent to helpdesk@eurobioimaging-interim.eu
